Storing documents is not the same as being able to prove it.

A document store answers what you hold. A review asks what you knew, when you knew it, what changed, what you did about it and who decided. IQON records those answers as the work happens, so the evidence describes the process and not just its attachments.

What you should be able to demonstrate

What was known

The information, screening results and documents available when the decision was made.

When it was known

The date and time the relevant information entered the customer record.

What changed

The event or new information that caused the relationship to be reviewed.

What action followed

The task, review, request or escalation created in response.

Who acted

The person responsible for reviewing, approving or completing the action.

What was decided

The outcome of the review and the decision taken.

Why it was decided

The information, risk factors and reasoning supporting the decision.

What the record showed at the time

A point-in-time view of the relationship before later changes altered the live record.

Evidence should be a by-product of doing the work — not something reconstructed before an audit.

Reconstruction is where compliance work becomes expensive and uncertain. Someone goes back through inboxes, shared drives and memory to assemble a defensible account of a decision made eighteen months ago.

If the record is written as the decision is taken, there is nothing to reconstruct.

How the record is built

Complete audit trail

Every screening result, document, task and decision on the relationship, in sequence.

Decision records

The conclusion, the person who reached it and the reasoning that supported it.

Change history

What changed, when it was detected and what happened as a result.

Point-in-time view

What the relationship looked like on a given date, not just how it looks today.

Source and provenance

Where each piece of information came from and when it was last confirmed.

Export for review

A structured account for an auditor, a regulator or an internal review.

A named person, every time.

IQON automates the preparation of a decision, never the decision itself. Screening runs automatically. Documents are chased automatically. Risk is calculated and presented. The conclusion belongs to a person, and the record says who.

That is what makes the evidence defensible: not that a system did the work, but that a responsible individual made a judgement on a complete picture, and it can be shown.
